INSTRUCTIONS FOR ELECTRONIC FORM W-2/W-2c



REMEMBER! The deadline to request an electronic Form W-2/W-2c for the current year is December 29th, 2023. 



CONSENT TO RECEIVE YOUR FORM W-2/W-2c ELECTRONICALLY

 

1. Log in to the SF Employee Portal. Navigate to Employee Links then click the W-2/W-2c Consent link under the Payroll & Compensation column.


2. A new screen will appear listing your current enrollment status. To consent to receive your Form W-2/W-2c electronically, click on the ‘I consent to receive W-2 or W-2c forms electronically’ checkbox and then click Submit.

 

 

 

3. You will be asked to verify your identity by entering your SF Employee Portal password. Once you have entered your password, click Continue.  If you receive a notification stating your password is invalid, enter your password again. If you continue to receive the Invalid Password message even after entering your password correctly, contact your local IT Help Desk to ensure it is syncing to your City-Wide Active Directory password. 

 

 

4. Your enrollment status will now say You will receive W-2 or W-2c forms electronically. You are now enrolled for all future years and have access to your electronic Form W-2/W-2cs through the SF Employee Portal.


 

WITHDRAW CONSENT TO RECEIVE A HARD COPY FORM W-2/W-2c 

  

 

1. Any employee who previously consented to receive their Form W-2/W-2c electronically can withdraw their consent to receive a printed version going forward.  To do so, log in to the SF Employee Portal. Navigate to Employee Links then click the W-2/W-2c Consent link under the Payroll & Compensation column.

2. A new screen will appear listing your current enrollment status. To change your preference and receive a paper copy of your Form W-2/W-2c instead, click on the ‘I withdraw my consent to receive W-2 or W-2c forms electronically’ checkbox and then click Submit


3. You will be asked to verify your identity by entering your SF Employee Portal password. Once you have entered your password, click Continue.  If you receive a notification stating your password is invalid, enter your password again. If you continue to receive the Invalid Password message even after entering your password correctly, contact your local IT Help Desk to ensure it is syncing to your City-Wide Active Directory password.

 

 

4. Your enrollment status will now say You will receive W-2 or W-2c paper forms.


ACCESS YOUR ELECTRONIC FORM W-2/W-2c 

 

 

1. Once you have received an email stating your Form W-2/W-2c is available, log in to the SF Employee Portal. Navigate to the Employee Links and click the View or Print W-2/W-2c Forms link under the Payroll & Compensation column.

 

 

2. A new screen will appear with a link to the PDF version of Form W-2/W-2c. Click View Form to view it. To access a Form W-2/W-2c from a prior year, choose the right one from the Tax Year drop-down menu.  

 

 

3. After entering your password a second time, your Form W-2 will open in a new window or tab. This form is required to be printed and attached to your Federal and/or State income tax return.  To access the Notice to Employees and Instructions to Employees, click on the i under the Filing Instructions column.

ADDITIONAL TIPS TO ACCESS YOUR ELECTRONIC FORM W-2/W-2c 


1. If you receive an error message that your password is invalid, enter your password again. If you continue to receive the Invalid Password message even after entering your password correctly, reset your password by clicking on the MyApps portal tile from the SF Employee Gateway and choosing Change Password located on the left side of the MyApps Dashboard. Still can’t log in after updating your password? Contact your department's Information Technology (IT) team and ask for their assistance in synching your Citywide Active Directory (CWAD) password with your Identity Access Management (IAM) account.


2. If your W-2 does not open after you enter your password for a second time, try adjusting your browser settings.


A. Clear your cache and allow for all cookies, site tracking, and pop-ups on the https://epupsi-bifrost.sfgov.org website. See our How to keep my web browser up to date solution article. Your local department MIS/IT Support team can also assist you if you need additional assistance.


B. Similarly, if you are using a mobile device make sure you're on the latest browser version and the settings are configured to allow pop-ups, cookies, cross-site tracking, and clear cache as instructed in our How to set up your mobile device for SF Employee Portal self-service solution article.


3. If the margins are cut-off when attempting to print the PDF (as illustrated in the screenshot below), see the instructions below to adjust your browser print properties to fit the page.

 


 A. Select “More Setting” and change the “Scale” option to “Fit to Printable Area”.
