How to Set up Auto-Enrollment and Notifications
Step 1) Click on the Learning Administrator tile.
Step 2) Click on Maintain Courses and choose the course you want to have auto-enrollment with.
Step 3) Click on the Security link.
Step 4) First click on “Correct History” link, then click on “Add Learner Group security” link.
Step 5) Add your Learner Group by clicking on the magnify glass.
Step 6) Choose Learner Group.
Step 7) Click on the “Done” button.
Step 8) Click on the “Save” button.
Step 9) Now let’s navigate to the Maintain Class page to setup auto-enrollment and add notification reminders. First click on the “Delivery Method” tab.
Step 10) Now click on the “Web-based Training” link.
Step 11) Next click on the “Classes” tab.
Step 12) Then click on the class link.
Step 13) Now we are on the “Maintain Class” page for the course we just updated the Learner Group for. Scroll to the bottom of the page and click on the “Default Learner Group” button.
Step 14) You should now see the Learner Group populated for the class
Step 15) Now click on the Mandatory Learning Setup link. This is where auto-enrollment will be setup and how to setup notification.
Step 16) Populate the learner group you want to be auto-enrolled.
Step 17) Next change the Due Date Calculation method to date and choose a due date for the class.
Step 18) This is how the page looks after making the updates.
Step 19) Add notification for approaching due date and overdue notifications. Please only select the “Learner” as the recipient. No need to include an enrollment notification because that is already setup for each class.
Step 20) Click “OK.”
Step 21) If the class is active, then you will see the screen below. Click no as there are pre-determined times when the auto-enrollment process runs City Wide.
Step 22) Lastly click "Save."
Step 23) If your class is currently “Pending” and you later change it to “Active.” When you click on the save button you will see the screen below. Please click No.
