Q: What’s the difference between SF My Hub and SF My Portal? Why are there two names?
A: SF My Hub is the new main landing page and will be a tile on SF My Portal. It replaces the current SF Employee Portal.
Q: How will the switch to SF My Portal/My Hub affect what employees need to do?
A: Nothing will change, just the way you access the same tools is being streamlined through employee.sf.gov.
Q: I saw the SF employee portal removed the link for the M.O.U.'s for the unions. Is the new portal going to have this link?
A: SF | My Portal plans to bring in M.O.Us, but right now, they live here: https://www.sf.gov/labor-agreements-city-and-county-san-francisco
Q: Will there be an email sent to all employees about the transition from SF Employee Gateway to SF My Portal? I understand My Portal is live now, but I don't remember receiving an email.
A: Yes. An email was already sent to all employees. We also posted a Carousel Article on the SF Employee Portal homepage. We will also be sending an all-employee email specifically announcing SF | My Portal officially after the SF My Hub launch.
Q: What is the difference between SF My Portal and SF My Hub?
A:
- SF | My Portal will host employee-facing information and news, like workplace policies, available classes and training, and the employee newsletter.
- SF | My Portal will link out to SF My Hub, where you can submit your pay, expenses, and all the other activities you could do from SF Employee Portal.
Q: When will SF My Hub be live?
A: SF My Hub will go live on April 21. You will access it through the SF My Portal at employee.sf.gov.
Q: What is SF My Hub?
A: It is a new centralized hub replacing the SF Employee Portal, designed for easier access to applications and services.
Q: Why the change to the new UX? What benefits do they offer?
A: We decided to decommission the SF Employee Portal on April 18, 2025, to:
- Reduce maintenance and support complexity
- Reduce reliance on external vendors for upgrades and troubleshooting
- Improve employee experience, engagement, and support
Q: I've noticed that the new Hub uses an sf.gov domain. Will our email domains also change?
A: No, the new web address won’t affect employee email domains.
Q: Will My Pay show details like pay rate, gross earnings, taxes, deductions, and net pay like it currently does?
A: Yes, all of that information will remain the same. You’ll also be able to view your hourly rate and pay step in the Pay & Benefits section of your profile.
Q: Will we be able to see our paid time off balances through SF My Hub if we use another system for time reporting?
A: Yes, in SF My Hub you can view PTO balances using the 'My Time' tile. All current self-service features are integrated into the new system.
Q: Will the font and text be larger throughout the portal pages?
A: The website uses industry-standard font sizes. You can zoom in via your web browser for larger text.
Access & Login
Q: How do you get to the SF My Hub home page?
A: You can get to SF My Hub beginning April 21st by clicking the SF My Hub tile on SF | My Portal (employee.sf.gov).
Q: How will we change our password?
A: You can change your password by contacting DT.

Q: I'm an SFUSD employee. Where do I get my username and password to access the system?
A: SFUSD and CCD employees will access through the HHS website or MyApps dashboard. Contact your HR unit if credentials are missing.
Q: Will logging in be the same?
A: Your login credentials will not change.
Q: Can I access SF My Hub from home or on my mobile device?
A: Yes, it is accessible via web browser on your personal computer or mobile device.
Q: Is two-factor authentication required for My Hub?
A: Yes, it is enabled for added security.
Q: Can I access my timesheet or paystub from home?
A: Yes, as long as you’re logged into SF My Portal (employee.sf.gov), you can access both.
Q: Do I need VPN access when working remotely to use SF My Hub?
A: If you're telecommuting, you must connect to VPN to access the City Network.
Q: If I need to access direct deposit from home, do I require additional verification?
A: No additional steps are required beyond logging in through VPN if working remotely.
Q: I'm an SFUSD employee. Where do I get my username and password to access the system?
A: SFUSD and CCD employees will access through the HHS website or MyApps dashboard. Contact your HR unit if credentials are missing.
Q: The link employee.sf.gov redirects to myapps.sfgov.org. Is that expected?
A: Yes. It prompts you to sign in with your MyApps credentials and redirects you to SF My Portal.
Q. How can I access all my training courses?
A: You can access SF Learning through My Apps and navigate to the training courses assigned to you.
Q: What will happen to existing tuition expense pre-approvals in the current portal?
A: Your approvals will remain intact and accessible in the new system.
Q: Can I save a shortcut to My Hub directly?
A: SF My Hub will be accessible via SF | My Portal starting April 21 at employee.sf.gov.
Q: What about the updated MFA?
A: You can update Multi-Factor Authentication (MFA) via the MyApps dashboard. If MFA isn’t set and is blocking access, call the DTIS Help Desk at 628-652-5000.
Q: Will we still be able to access the portal through Citrix for telecommuting?
A: If you are using Citrix to connect to the city network that should not change.
Q: How do retirees access the portal?
A: Retirees will have separate access and guidance provided through the SFHSS (Health Service System).
Q: Can I still use the old links after the switch?
A: Some old links may redirect, but it's best to start using employee.sf.gov moving forward for the most accurate access.
Q: Can I use my personal device to access the portal?
A: Yes, the portal is accessible on any device with an internet connection.
Q: How can CCD & USD employees access their benefits information?
A: CCD & USD employees can access their benefits information through the My Health Benefits tile on their SF My Hub homepage, which they can access through the MyApps (myapps.sfgov.org) site.
Features & Functionality
Q: Does SF My Portal include a link to the DHR library?
A: The DHR eLibrary is a resource just for HR-affiliated employees. We have not migrated it just yet but will be doing so within the year.
Q: For the Learning Tile, where and how do I access the "Learning Administrator" Tile? Thanks!
A: If you are a current DPH learning admin, you'll access everything in SF Learning the same way as you did before. The only thing that changes is the way you access SF Learning.
Q: Will the My Information data be transferred to SF My Hub?
A: Yes, all information will transfer automatically.
Q: Will I still have access to My Pay information?
A: Yes, you'll use the My Pay tile in SF My Hub
Q: Where do I submit an expense report in the new system?
A: Navigate to My Hub > Expenses tile.
Q: How do I approve staff timesheets?
A: Go to My Hub > Manage Employee Time tile.
Q: Will SF Learning content be affected?
A: No, the content remains unchanged. You’ll access it via My Hub > Learning tile.
Q: Will tiles on the new UX be customizable?
A: No, you cannot rearrange tiles, but you’ll only see tiles relevant to you.
Q: Where can I find mandatory City training?
A: Check the Learning tile in My Hub.
Q: Where can I access SF Financials and SF Procurement?
A: You can access them via MyApps at myapps.sfgov.org.
Q: Will the apps like DocuSign be accessible?
A: Yes, DocuSign is accessible via MyApps. Not all apps will move to My Applications in SF My Portal.
Q: Will My Health Benefits allow changes during open enrollment?
A: Yes, there will be a tile in SF My Hub for updating benefits during open enrollment.
Q: I'm a contractor—will I still be able to complete mandatory training like cybersecurity on the Learning tab?
A: Yes, contractors will still be able to complete training through SF My Hub.
Q: Will we be able to submit timesheets, time off requests, and mileage reimbursements through this portal?
A: Yes, you will continue submitting these as you currently do.
Q: Will we be able to see accommodation or leave of absence requests and their status?
A: Requests must still go through your HR unit. Some forms can be downloaded via SF | My Portal.
Q: Will the DE4 (State withholding) form be available online?
A: Yes, the DE4 form will be available online soon
Q: Is timesheet submission the same?
A: Yes, timesheet submissions will remain the same.
Q: Where will the Work Links tab be located?
A: You will be accessing your work links via MyApps. https://myapps.sfgov.org
Q: What happens with our sick leave hours?
A: here will be no changes to sick time. The only change will be one gets to their posted sick time.
Q: If I update my address in SF My Hub, do I also need to notify my HR department at the library?
A: You do not have to notify your HR department if you make changes to your address.
Q: Where is SF Financials?
A: Power Users will access SF Financials via the Financials tile, not the SF My Hub tile.
Q: Are SF Financials and MyHub connected?
A: They are part of the same overall system but accessed via different tiles.
Q: Will managers have a separate view in the portal?
A: Yes, managers will have role-specific access and tools tailored to their responsibilities.
Q: If my information and identity is not correct, how do I update it?
A: You will be able to correct your personal information through the new portal or by contacting your HR representative.
Q: Can I still find payroll info through the portal?
A: Yes, payroll information will be available through the same systems, just accessed via the new portal tile.
Q: How do I access my SF Learning training?
A: Log into My Portal > SF "Employee Portal" (change name later) > Click on My Learning tile
Q: How to self-enroll into a course?
A: Log into My Portal > SF "Employee Portal" (change name later) > Click on My Learning tile > Learning Catalogue tile
Q: Will managers have a separate view in the portal?
A: Yes, managers will have role-specific access and tools tailored to their responsibilities.
Q: My date of birth is wrong, how do I update it?
A: Contact your department HR.
Q: Will the Compensation History feature that’s currently on the SF Employee Portal be available in SF My Hub?
A: The Compensation History feature currently on the SF Employee Portal is a customization, which we will not be able to deliver under the My Pay tile of your SF My Hub homepage at Go Live on April 21. However, we will provide the direct link to this page in our “How to use the features under your My Pay tile” solution article. Please be on the lookout for the communication announcing the availability of our solution articles.
Transition & Support
Q: Is there a support phone # if needed?
A: Our support number and support email will remain the same: 415-944-2442 and [email protected].
Q: I’m on vacation during the transition. Will timecard entries I submitted in advance be preserved?
A: Yes, all previously submitted timecards will carry over.
Q: Who do I contact if a direct report is missing from my approval list?
A: Please contact your department HR representative.
Q: Will existing delegations for expense reimbursement be retained?
A: Yes, you do not need to request delegation again.
Q: Should I update bookmarks after the transition?
A: Only update the SF Employee Portal bookmark to employee.sf.gov. The others can remain.
Q: Will training materials be available for new features like SF Financials?
A: Yes, just like for Employee Links, training materials and recordings will be provided.
Q: Will the new expense reporting interface through MyHub be faster than the one through the legacy Employee Portal? The legacy portal often froze when I was trying to enter expense reports?
A: The expense reporting will remain the same. The changes are only how we navigate to the application transactions.
Q: If you already have auto deposit, do I need to reply?
A: If you already have the direct deposit, there is no action needed.
Q: Will we have the ability to print pay stubs and W-2’s though My Hub.
A: Yes, there will be no changes to print functions. Printing will remain the same.
Q: Are all departments switching to the new system at the same time?
A: The transition will happen in phases, with each department following a timeline coordinated with DHR.
Q: What’s changing in terms of workflows?
A: The workflows themselves are not changing—just the access point and interface are being updated.
Q: Will there be a handbook available?
A: Recordings of these sessions will be available on the SF Employee Portal after the sessions are completed.
Q: DHR used to have a general "how-to" user guide — is there something similar?
A: Yes, the Workforce Development team is working on updated job aids and user guides for employee.sf.gov.
Q: Will Power User sessions be recorded?
A: Yes, all sessions are recorded and posted to the solution center.
Q: Will there be follow-up training for departments?
A: Yes, additional department-specific training sessions will be scheduled.
Q: Are job aids printable?
A: Yes, all job aids and user guides are downloadable and printable for your convenience.
Q: Is there a central resource hub for all job aids?
A: Yes, job aids and guides will be housed in one location on the SF Employee Portal.
Technical & System Issues
Q: Which web browsers are supported?
A: To ensure the best performance, we recommend you configure your device and browser to meet our IT readiness guidelines in our How to meet our required system specifications Solution Article.
Q: Besides Direct Deposit, which requires being connected to the VPN/City Network, are there other features that require the VPN/City Network? Will we need to be logged into VPN/be in the office in order to view and download our pay advices?
A: There are two features that are only available internally:
Direct Deposit through your My Pay tile on SF My Hub
2. Tuition Balance Report on your Expenses homepage.
Access to your pay advices will be the same as it is today—you can access and download them both internally and externally.
Q: Will the new site eliminate the need for regular maintenance downtime?
A: There will still be planned maintenance, though less frequently.
Q: Will My Hub have the same issues as the Employee Portal with browser compatibility or clearing cache?
A: While SF My Hub is designed for improved performance, it's always a good habit to clear your browser's cache periodically to ensure smooth access.
Q: I tried registering as an SFUSD employee but got a blank screen instead of my username. What do I do?
A: Please contact HHS or your department’s MyApps support. (Note: The response needs clarification.)
Q: It appears that I cannot connect to My Time when logged in outside the City network (i.e. not on VPN)
A: Try clearing cache, use Chrome and try again. If it persists, please submit a request for support or call Tier1 Support at 415.944.2442.
Q: I've been experiencing frequent lagging or freezing when using the Employee Gateway on Chrome. I often have to switch to Edge or Firefox to continue. Is this a common issue for others? Also, with the new SF My Portal, is there a preferred browser for better web navigation.
A: Try clearing cache in Chrome. Chrome is the best browser for the best user experience. Edge is also a good browser to use.
Q: Accessing the Employee Portal externally via Safari in the past did not work, I would have to log in using Chrome. Will this be fixed with the SF My Hub?
A: Chrome and Edge provides the best user experience. There are a few settings that needs to be configured for it to work as proscribed, but Safari as you experienced does have some intermittent inconsistencies. Please submit a request or call in to the Tier1 Support at 415.944.2442 and we will walk you through the Safari settings.
Q: This is a much-needed redesign of the employee portal, so kudos to all who worked on it! How long did the project take, which IT team built it, and what are the underlying technologies? I work in IT, so I'm interested on how you did it.
A: This is built in ServiceNow by the DigitalHR team at the Dept of Human Resources
Miscellaneous
Q: Is SF My Portal accessible via a mobile app?
A: At this time, we do not have an application, but it is mobile-friendly in a browser on your mobile device.
Q: From a Learning & Development perspective, I am curious if there is live data (or a dashboard view) of how many SF employees are engaging with SF Learning – or of most common courses? Thanks!
A: Please email [email protected], and we'll get you in touch with the SF Learning team! We actually have a few Learning dashboards available today via SF Reports & Analytics. If you don't have access to those dashboards, please reach out to [email protected].
Q: Is My Hub also for SFUSD employees?
A: SFUSD employees primarily access the system for health benefits via HSS or MyApps.
Q: I noticed unfamiliar holidays in the calendar like 10/13/25. Is that a new holiday?
A: October 13, 2025, is Indigenous Peoples' Day.
Q: Where do I find the alternative work schedule (AWS) form?
A: Contact your department's HR representative for the specific AWS form used in your department.
Q: Where can I find the receiving tile for accounting?
A: You’ll find it through the MyApps Dashboard. Check the Power User session for details or review the slide deck and recordings.
Q: Where can I view my approved telecommute agreement?

Q: Regarding the new telecommute agreement, are we doing the training again? since we already have a current TC agreement in place, we already did the training. is this another thing we have to do again?
A: We recommend you consult with your department's HR team about this.
Q: How do I give feedback on the portal?
A: Use the feedback form available on the portal homepage to submit suggestions or concerns.
Q: What is a cash advance?
A: It is an option in an Expense Report.
Q: Will this impact new employees trying to register for benefits?
A: New Hires and Rehires will see the tile appear on their My Health Benefits homepage so they can sign up for benefits coverage by their enrollment deadline.
