Utilizing the Contracts WorkCenter:

Purpose: This job aid covers setup and utility of the Contracts WorkCenter.

 

*To use the Contracts WorkCenter My Work links, one time setup to Edit Filter values is required.

Topic 1: Setup My Work Filters

Step 1: On the Financials homepage, click on the Customer Contracts tile.


Step 2: In the left pane, click the Contracts WorkCenter.


Step 3: Notice that most or all My Work items are red and inaccessible. Filters must be set up for your User ID. Click the Edit Filters link. 



Step 4: Click View All to expand all of the filter groups (Exceptions and Setup in need of Review) to show all My Work items for each section.



Step 5: Click the pencil icon next to one of the filter ID rows to edit your filter values for the specific filter ID. 


Step 6: Enter necessary information. For the below example enter:

    • Business Unit: Click the eyeglass icon to select the Business Unit.
    • Days to Expire: Be sure to select the “<=” in the criteria and manually type the number of days away from expiration of the contracts that you’d like to be included in the results of this My Work link. 
    • Dept Descr: Click the eyeglass icon to select the department.
    • Enter any additional filter values you’d like to set now.


Click Apply and OK.



Step 7: All My Work items that utilize this filter will now be accessible and automatically filtered by the values selected. If there are still red, inaccessible My Work items, repeat steps 3-6 for any other unique filter ID’s still requiring setup.


Note: My Work links will only show My Work items included in the criteria set in Edit Filters. If you intend to see My Work items outside these criteria, filter values will need to be adjusted. 




Topic 2: Navigating and Using the Contracts WorkCenter


Step 1: On the Financials homepage, click on the Customer Contracts tile.



Step 2: In the left pane, click the Contracts WorkCenter.



Step 3: The Contracts WorkCenter contains four sections/pagelets:


On the Main tab:

    • My Work: Links display user-specific alerts for tasks pending action, needing attention, or pending approval.
    • Links: Direct links to related Contracts pages.



On the Reports/Queries tab

    • Queries: Direct links to existing relevant PeopleSoft queries.
    • Reports/Processes: Direct links to pages containing reports or processes.
       


Note: The links available in each section are dependent on user roles.


Step 4: In the My Work section, click on the link of the pending My Work task you’d like to work on. Rows pending action/needing attention will appear on the screen. Dependig on the the My Work link selected, you will be able to:

    • Update individual item information all from one page by clicking the drilldown link related to the information you want to update (in red).
    • Or change the status of one or many rows at a time by selecting the checkbox next to the row(s) you’d like to work on, select a new Status value from the dropdown list, and click Update (in blue).  



Step 5: In the Links section, open the folder related to the page you want to access. Click the direct link to the page. The page will open on the right and will be accessible without leaving the WorkCenter. 



Step 6: In the Queries section, open the folder related to the query you want to access. Click the direct link to the query. Enter necessary criteria and click View Results. The query results will display within the WorkCenter.



Step 7: In the Reports/Processes section, open the folder related to the report/process you want to access. Click the direct link to the report/process. The report/process page will open on the right and will be accessible without leaving the WorkCenter. 



Step 8: Clicking on sub folder headings allows the user to expand and collapse sections as necessary.
