The SF Employee Portal has retired! SF My Hub is now available, bringing your employee payroll, benefits, expenses, and learning data to SF | My Portal. See our SF My Hub flyer attached to this solution article, in case you'd like to share a quick reference sheet with your department employees!
SF People & Pay, SF Learning, SF Financials, SF Procurement, SF Budget, and SF Reports & Analytics are now available in MyApps. Be sure to clear your cache to see the reconfigured MyApps page, which now includes your Power User tiles.
Reminders about your Power User access
As presented during the Power User webinars, the point of access to your daily work shifted to MyApps, but the applications themselves and your roles remain the same. Additionally, although you will always see your Power User tiles on MyApps, you can access your Power User features only if you are logged in internally while physically at work or via VPN. See the screenshots below for more information about internal vs. external access as a Power User of SF People & Pay, SF Financials, or SF Procurement.
Webinar Recording
We recorded all eight sessions of our SF My Hub Webinar for Power Users and are sharing the recording with the highest quality. Click the video below to watch the webinar recording.
Questions & Answers
Below are the questions and answers from our Power User SF My Hub webinars.
General Questions about SF My Hub
Q. What is SF My Hub replacing? Is this a newly created system?
A. SF My Hub is replacing the SF Employee Portal, which houses the self-service features that allow you to view and update your own data. The self-service features are in the same system, but we are rebranding our new homepage as the SF My Hub, since we will launch a new user interface through a tile-based homepage.
Q. What is the relationship between My Portal, My Hub, and My Apps? Will MyApps remain the same?
A. MyApps is the current site that Department of Technology manages. All applications that are currently on MyApps, such as SF Budget and SF Reports & Analytics will remain. Beginning April 21, our Power User tiles for SF People & Pay, SF Financials, SF Procurement, and SF Learning will also be available on MyApps. SF My Hub is our new tile-based homepage that will replace our SF Employee Portal, where you will be able to view and update your own personal data, like contact information, pay advices, timesheets, and expenses. SF | My Portal is a site managed by the Department of Human Resources that provides various employee forms and resources. When we launch SF My Hub on April 21, you will be able to access our tile on the SF | My Portal site.
Access & Login
Q. What is the web address for SF My Hub?
A. There is no direct link to SF My Hub. When we launch SF My Hub on April 21, you will be able to access the SF My Hub tile on the SF | My Portal site at employee.sf.gov.
Q. Sorry, I missed the web address. Can you post it again?
A. The address to SF | My Portal is employee.sf.gov.
Q. Can I start using SF My Portal now?
A. Yes, SF My Portal is accessible now at employee.sf.gov.
Q. Will there be an instructional handout on how to access SF My Hub for new hires?
A. We will publish our “How to access SF My Hub as a City & County of San Francisco or Superior Court employee” solution article when SF My Hub goes live. We’re also working on a flyer that includes access information.
Q. Will the new SF My Hub be mobile-friendly?
A. Yes, you will be able to access SF My Hub through mobile devices.
Q. Where do we log in with our DSW# and password? Will we also receive a phone verification code?
A. You will continue to log in through Identity and Access Management (IAM) using the same login credentials you now use. IAM will prompt you for your credentials when you visit MyApps (myapps.sfgov.org) as a Power User to access your Power User tile, and when you visit SF | My Portal (employee.sf.gov) to access your own data on SF MY Hub.
Q. Can you explain the process of logging into the City Network?
A. Logging into the City Network means accessing it from your work facility or using VPN to login. For specific instructions related to your department, please consult your department’s IT helpdesk.
Q. Can we log in remotely via VPN?
A. Yes, logging in through VPN is considered an internal login. You will have access to your Power User features when you’re logged into our system internally.
Q. Can you clarify which tasks in each application require logging into the City Network?
A. The features that require internal login are Direct Deposit through the My Pay tile on your SF My Hub homepage, and the Tuition Balance Report tile on your Expenses homepage.
Q. If working remotely, can we access My Time to submit timesheets?
A. Yes, you can submit and approve timesheets externally.
Q. For non-city employees (e.g., AAM department) with city access, how do we log in to MyApps?
A. MyApps is available to all employees, POIs, and retirees. Simply navigate to myapps.sfgov.org.
Q. Will there be an iOS or Android MyApps app for mobile phones?
A. Unfortunately, there is not mobile app at this time.
Q. What should HR do if the Expense Approval tile does not appear?
A. If a user does not see the Expense Approval tile, they should reach out to [email protected] so we can review their security access.
Q. I need SF Reports and Analytics to be easily visible and usable with less clicks to get to. From your presentation, I don't see this yet. Is there a shortcut to click to get to Reports and Analytics?
A. SF Reports & Analytics will be accessible in MyApps. This information is covered in our SF My Hub Webinar for Power Users. Please check out the solution article for the Power User session if you do not get the chance to attend that session during our webinar series.
Q. How will retirees change their direct deposit information if they do not have access to SF | My Hub?
A. We only administer pay for active City & County of San Francisco and Superior Court employees. Direct Deposit and pay information for Retirees will continue to be managed by the San Francisco Employees Retirement System.
Q. Thanks for the MyApps link. I clicked on it, and it doesn't have the same number of tiles I currently have on the outgoing employee portal. How/who can I contact to ensure I have the same access before the 4/21 launch date? Thanks.
A. We will send communication to our Power Users when you’re able to access your Power User tiles through MyApps. If after clearing cache, you are still unable to see your Power User tiles, please contact [email protected].
Features & Functionality
Q. Will we be able to submit articles for the SF My Hub landing page like we did for the portal carousel?
A. Yes, we will still have the Announcement feature available through the Announcement tile. The SF | My Portal offers a Banner that all visitors see. You may want to consider contacting them as well.
Q. Will the timesheet process change? Will it be real-time?
A. The timesheet process remains the same. You must wait for the Time Administration and Absence Calculation processes to run so your timesheet approver can see your updated timesheet.
Q. Are we keeping the "Favorites" P&P links?
A. Yes, you will not lose your Favorites as a result of SF My Hub going live, since you’ll still be using the same systems.
Q. Will SF My Hub include all previously completed learning records and courses?
A. Yes, all SF Learning records will remain, since we are not changing systems. We are simply changing your point of access and the look and feel of the system.
Q. Given that we have 35,000 employees and over two dozen Union Collective Bargaining Agreements that govern leave balance policies, will the system display vacation and sick time that is set to expire if not used by employees?
A. SF My Hub will not have notifications of leave balances that are due to expire. However, this is a future enhancement that we are considering.
Q. Is the timesheet delegation just for that pay period or forever after?
A. Timesheet delegation will be based on the start and end dates entered during the delegation process. The system will allow you to delegate without an end date, which means you are delegating your approval authority indefinitely. Make sure to click the Learn More about Delegation link on the Manage Delegation page to ensure you have all the information you need before you create a delegation request.
Q. Can you please quickly repeat where to check the vacation hours, etc., in the new SF My Hub?
A. Your vacation hours and other leave and compensatory time balances will be available under the My Time tile on your SF My Hub homepage.
