Description


As part of an essential security cleanup, the SF Procurement team identified discrepancies in user role assignments. Specifically:


  1. Users lacking the Requisition Requester role but still configured as Active Requester setup


2. Users lacking the Purchase Order Buyer role, yet still configured as an Active Buyer setup


Purpose


The objective is to ensure user access aligns correctly with their current roles. Cleaning up these mismatches helps:

  • Maintain secure and accurate permission settings
  • Prevent unauthorized access or role conflicts
  • Ensure only properly authorized roles are assigned “Active Buyer” or “Requester Setup” statuses


Possible Problems


  1. Access Denied or Errors During Requisition Updates: Users might encounter an error when attempting to update or edit requisitions if they are not assigned the relevant role, yet still configured as an Active Buyer.


2. Issues When Adding or Updating Requisition: Users designated as Active Requesters without the proper role may see error messages while attempting to add or update requisitions.


How to Resolve These Issues


A) For Active Buyer Issues


If you encounter the following error when editing requisitions, follow the below steps to update your status to Active Buyer:

  1. Go to SF Procurement.
  2. Select Requisition 
  3. Click the Manage Requisitions.

  4. Search for the Requisition ID.
  5. Click the arrow next to the Requisition ID and choose Edit. 
  6. Select Edit from the dropdown.
  7. Click Go.


8. Use Select All / Deselect All as needed.

9. Click Mass Change.

10. Enter the correct Buyer information.

11. Click OK to save the changes.


B) For Active Requester Issues


If you're unable to add or update requisitions due to incorrect requester status and receive the following error message, follow the below steps:

  1. Go to SF Procurement.
  2. Select Requisition 
  3. Click the Add/Update Requisition.
  4. Search for the Requisition ID.
  5. Enter the appropriate Requester information.
  6. Click Save to apply the changes.
