The SF Employee Portal provides employee access to various self-service functionality, including the ability to view and update personal information, obtain pay and benefits enrollment information, submit expense reimbursements, report time and absences, and access learning opportunities.

The following sections will introduce you to the most frequently used features of the Portal.

 

Logging into the SF Employee Portal

 

If you are logging into the SF Employee Portal for the first time, you will need to complete the initial login process for Identity and Access Management.  See the New User First Time Login article available in our solution center for first-time login instructions.

 After your initial login, follow the steps below to navigate to the SF Employee Portal.

 

Step 1: Visit www.sfgov.org/sfemployeeThis web address takes you to the SF Employee Gateway. Select the SF Employee Portal tile.

 

Step 2: Enter your DSW#, password, and accept the City & County of San Francisco Terms of Service and Privacy Policy.

 

Step 3:

Enter your secure code or respond to your security questions. Trust the device to skip this security challenge for 30 days. Click the Verify button to proceed and you’ll land on the SF Employee Portal.

 

Top menu options

You will land on the SF Employee Portal after logging in. There are three menu options at the top of the Portal. Details about the HOME menu is provided in the Exploring the homepage section of this document.

 

 

Emergency Response

The EMERGENCY RESPONSE menu provides links to forms related to emergency response, such as the ICS 214 Timekeeping form and ICS Form 213RR Goods & Services Request form.


 

User Access & Support

Clicking USER ACCESS & SUPPORT will take you directly to the Solution Center of the SF Employee Portal site, where you can review solution articles and submit requests for the SF Employee Portal Support team.

 

Exploring the homepage

The Portal homepage is where you can view your personal information and access other self-service features, such as viewing your pay statements, updating your direct deposit information, and submitting expense reimbursement requests. This is also the page where human resources, payroll and finance staff can access the SF Employee Portal Support systems to perform business functions.

 

Slideouts

On the left-hand side of the Portal is a column of slideouts containing your information. The sections below review what you can see or update from each slideout.

 

  

My Information

Click the MY INFORMATION slideout to view your information. You can update personal and contact information by clicking the pencil icon.

It is important that employees keep their contact information current at all times, since this information is critical in the event of an emergency.

Please note some editable fields, such as address are inaccessible for updates during payroll processing. Confirm with your Department HR what supporting documents they require before updating your information.

For updates to your Business Email address please contact your HR Representative.

 

 

My Pay

Click the MY PAY slideout to view your most recent pay information. Click the VIEW MY PAY link to view your prior pay statements. 

The SF Employee Portal is the primary method of obtaining pay statements

 

Click the Check Date you wish to view or print.

 

My Time

Click the MY TIME slideout to view your absence balances. If you enter your time and absence on the Portal, you will see an ENTER MY TIME link to complete your Timesheet.

  

My Benefits

Click the MY BENEFITS slideout to view your benefits enrollment information.

  

My Learning

Click the MY LEARNING slideout to view and launch your planned courses and print completion certifications directly from the Portal.  

You can also access your Learning homepage by clicking the SF LEARNING button at the bottom of each tab to explore other SF Learning self-service features, such as enrolling into other courses.

 

 

 

 

Portal Carousel

The Portal contains a carousel where employees can read rotating articles about upcoming events and new functionality.

  

Lower Tabs

Across the middle of the Portal page are tabs for MY LINKS with sub-tabs, and ALERTS. Some users may have the MY TEAM tab, which lists direct reports based on position information.

 

My Links

MY LINKS contains sub-tabs for your WORK LINKS, EMPLOYEE LINKS, and MANAGER LINKS

Work Links

WORK LINKS is the default sub-tab under MY LINKS and provides you quick access to SF Employee Portal systems to complete your daily tasks.

All other SF Employee Portal systems under WORK LINKS are based on your functional responsibilities and are accessible only within the City network.

SF Learning, the City’s learning management system, is available to all employees, and is accessible both inside and outside of the City network

 

Employee Links

The EMPLOYEE LINKS sub-tab contains additional self-service features you can access anytime anywhere. 

Examples of self-service features include:

  • Payroll & Compensation – viewing or printing W-2/W-2c forms, and updating direct deposit and tax information
  • Time Reporting & Absence – available to Self Service Time Entry departments, employees can report their own time and absence
  • Expense Requests – request and manage expense reimbursements
  • Expense Authorizations – request and cancel expense authorizations
  • Cash Advances – create/manage and delete cash advance requests
  • Benefits – online benefits enrollment available during the Health Benefits Open Enrollment period

 

Manager Links

The MANAGER LINKS sub-tab contains links to manage processes related to the approval of time entry (for Self Service Time Entry departments) and expense requests

 

Alerts

 The ALERTS tab contains important announcements, such as system downtime and unavailable features.

  

Signout

Remember to click SIGNOUT on the upper right-hand corner of the page when you are done to ensure you are completely logged out of the SF Employee Portal.
