We’re excited to announce that Self-Service Time Reporters can now view their reported time and absence on the enhanced MY TIME slideout, and Approvers can see alerts for pending time and expenses under their new MY TO-DOS tab. See below to learn more about our upcoming Portal features.

I. View reported time and absence from your enhanced MY TIME slideout

Beginning August 1, Self-Service Time Reporters can view their reported time and absence directly from their Portal’s MY TIME slideout.

  1. Click the Update button to view the most recent updates to your reported time and absence
  2. Change the Select value to change your view of the current or previous pay period
  3. View your scheduled hours, number of hours reported, and the approval status of your reported time
  4. Review your reported time and absence. You do not have to wait for the completion of the Time Administration and Absence process to see your reported hours.
  5. Click the Manage Time button to access and update your timesheet
  6. View your accrued leave balances at the bottom of the page


 

 

Reported time will not appear for employees who do not report their own time and absence in the SF Employee Portal, but they can find their leave balances when they click their MY TIME slideout.

 

 

For Time and Expense Approvers: NEW MY TO-DOS Tab

On the bottom half of your Portal, you will find the new MY TO-DOS tab, which alerts you of time and expenses pending your approval. Under this tab, you will find the Time Approvals and Expense Approvals sub-tabs. Users who do not approve time on the SF Employee Portal will not see the Time Approvals sub-tab.

 

II. Time Approvers - No more guessing game, know when reported time requires your approval!

Do you find yourself anxiously checking your employee’s payable time to make sure you don’t miss newly reported time? The new Time Approvals sub-tab takes the guessing game out of the approval process! Self-Service Time Approvers responsible for approving time for less than 300 employees will see a “1” indicator on your Time Approvals tab when there is reported time waiting for your review and approval. To approve time for 300+ employees, please see the Approvals still available under MANAGER LINKS section.

Turn on your Show Details radio button to view a summary of your approval information, e.g., number of employees with approved time, pending approval and unreported time.

 

Turn off your Show Details radio button, and the only data you will see is the date and time of your last page refresh. Click the Update button to show the most recent information.

 

From either view of your Time Approvals sub-tab, click Review Pending Time.

 

You will arrive at the TIME APPROVAL FOR MY TEAM page, where you can review and approve your team’s time.

  1. Turn off your Hide Approved radio button, and you will see a comprehensive list of your employees regardless of reported time status. Turn on your Hide Approved radio button, and you will not see the names of your employees you have already approved. Only those with reported time pending your approval, and those who have not reported time will show up on your list.
  2. The up and down arrows next to your employee’s total hours indicate whether reported hours are over or under their scheduled work hours
  3. The Approved column indicates whether you have already approved your employee’s hours
  4. Click your employee’s name, and you will arrive on that specific employee’s timesheet
  5. Select the checkbox next of the employee’s name you wish to approve
  6. Click the APPROVE SELECTED TIME button to approve time for selected employees. Note that Approvers are responsible for viewing the details of their employee’s payable time before approving.
  7. Click the Review Payable Time Details button to visit the Approve Payable Time page




III. Expense Approvers – Alert appears when expense approvals await


As an Approver, your Expense Approvals sub-tab will alert you of the total number of Expense Reports, Cash Advances, and Travel Authorizations waiting for your review and approval. Two different views of your pending approvals will be available.

Turn on your Show Details radio button, and you will see details of the request, such as the requester’s name, item type, and amount. 

 

Turn off your Show Details radio button, and you will see a summary of your pending approvals listing item type and the requester’s name.


Click an item type from either view, and you will arrive at the appropriate approvals page of SF Financials.

 

 

Approvals still available under MANAGER LINKS

The ability to review and approve time and expenses from the Time Approvals and Expense Approvals sub-tabs of the new MY TO-DOS tab is an added option available to quickly alert managers of pending approvals. 

Links to pages associated with the review and approval process of time and expenses are still available on the MANAGER LINKS sub-tab of your MY LINKS tab. Self-Service Time Approvers responsible for approving time for 300+ employees will not have the Time Approvals sub-tab available, so they will continue to access the MANAGER LINKS sub-tab to review and approve their employee’s time and absence.
